Browse subscribers and export lists

To browse subscribers and export lists, there are two ways to go about doing it. Exporting from the “Export Subscribers” function, and exporting from the “Browse Subscribers” function. Both of these functions can be accessed using similar steps. While logged into your TotalSend account, navigate to your lists by clicking on the [LISTS] menu button at the top of the page.


Now you should see all the lists in your account.


Click on the name of the list that you would like to export subscribers from.


 You will now be taken to that list’s overview page. 


 Click on the “Subscriber Actions” drop-down menu at the top-right of the page and you will see the following options: image007 

From this point either select “Export Subscribers” or “Browse Subscribers” The usage of each option is detailed below. Export subscribers–This export provides a list of subscribers in CSV. XML or Tab delimited format. image008 

The “Subscribers” section includes segments of the list to refine the  subscribers you would like to export.

These include the following: 

Active subscribers – These are subscribers who are not unsubscribed, bounced or awaiting opt in confirmation. 

Suppressed subscribers – These are any subscribers on either the local/global suppression list. 

Unsubscribed subscribers – These are only subscribers who have unsubscribed or have been unsubscribed manually. 

Any segments you may have made within the list – These will appear when you have created segments within your list. 

Soft bounced and Hard bounced subscribers – These are any subscribers who’s email addresses have bounced in the sending of previous campaigns for any reason.

Lastly you have several options for the information you would like to include in the export which are as follows: 

Subscriber ID – The ID of an individual subscriber as  it appears to the TotalSend system usually ordered chronologically by  time of import where the first subscriber’s ID will be 1.

Email Address – The subscribers email address that the system sends the emails to. 

Bounce Type – If the subscriber has bounced, this will give a value of hard or soft bounced. 

Subscription Status – This is the status of the subscriber in their list, whether “Subscribed”, “Unsubscribed”, “Opt-in Pending”, “Opt-out Pending” 

Subscription Date – This is simply the date that the subscriber was subscribed to the list successfully Subscription IP– This is the IP address that the subscription originated from. 

Opt-in Date – This is the date when the subscriber had  successfully confirmed their opt-in status by clicking the link in their  opt-in confirmation email. (This only applies to double opt-in lists) 

Other Custom Fields – Any other custom fields you may  have added to the list will appear at the bottom of the list. This is where you can lay out a set of rules to filter your subscribers  and use the export function to export all their information. 


This option exports all data associated with a subscriber regardless of the segmentation created by the rules used. You will need to click the button labelled “Click here for search options”   Then you will need to set your segmentation rules as necessary. image011 

Once you are happy with your segment rules, click the “Apply filter” button. 


 The subscribers that match the given rules will then be loaded and you can proceed to click the “Export Results” button.
